Pre- and Post-Show Mailing Guidelines

What is a Pre- or Post-Show Mailer?

As an exhibitor with OAUG you have the opportunity to send a printed mail piece to OAUG registered attendees prior to the conference or after the conference. This is a great way to market your presence before attendees arrive at the conference, or better yet catch all the attendees you didn't have a change to communicate with after the show.

How Much Does a Pre- or Post-Show Mailer Cost?

The cost associated with mailing to our attendees is $1,800 for Pre-Show and $2,500 for Post-Show (if you are an OAUG Star Partner, please review your contract to see if your mailer is included in your package); you must also submit payment to Roltime for shipping charges. The postage will be determined by you. Please send your postage payment to Roltime (with your mailer) to the following address:

Can I Use my Own Mailhouse?

Unfortunately no. The OAUG does not release contact information of OAUG members or conference attendees; however, exhibitors may send mailing to OAUG conference attendees through a designated mailhouse — Roltime Fulfillment.

How Many Attendees are Included in the Mailer?

The number of labels (for OAUG attendees only) that we estimate will be available for the pre-show mailing is 2,500*.

* The attendees that register after April 1 will not be included in this estimate. The numbers of labels are best estimates and attendance may be higher or lower. Unused postage will be returned to you less the cost of sending any additional printed pieces to Atlanta.

For the post-show mailer, please estimate 3,200 pieces.

What is the Process for Completing a Mailing?

Begin by designing the mailer. Be aware that postage costs increase for oversized or odd-sized pieces. Large pieces, other than self mailers like postcards, may be subject to additional labor charges by Roltime. Also, while designing the piece, have the mail indicia printed where postage normally goes. Below is information regarding the mail indicia and return address. The OAUG return address must be on the mailer before being approved.

Take a sample of your mail piece to the first class mail representative at your local post office. Your mail piece should be presented as if it were ready to be mailed, i.e., with the envelope, all enclosures, etc. Ask the mail representative to give you a price for mailing your material. Multiply this postage amount by the number of mailers you’re printing to get the total cost estimate for postage. Additional cost may incur due to international postage.

Send the OAUG a sample of your mail piece for approval. There’s a two-day turn around time for approval. All mail pieces must be approved by the oaug. Items may be faxed to +1 404.240.0998 or e-mailed to alewis@oaug.com.

All pre-show mailing samples must be e-mailed of faxed prior to March 20 to alewis@oaug.com or +1 404.240.0998.

All pre-show mailing pieces should be delivered to Roltime prior to April 10.

All post-show mailing samples must be e-mailed or faxed prior to May 15 to alewis@oaug.com or +1 404.240.0998.
